Service — Team Onboarding

A system only works if your team actually uses it

We run live onboarding workshops and build the playbooks your content team needs to own the process — not just follow instructions.

Most content systems fail at the human layer, not the tool layer

You can have the best editorial strategy and a beautifully configured ClickUp board, but if your team doesn't understand the reasoning behind the system, they'll work around it within a month. Terravswift's onboarding service is the activation layer that makes everything else stick. We design and run tailored workshops for writers, editors, and content managers — typically two half-day sessions over a week. Each session is built around your specific system: your strategy document, your pipeline, your brand voice. We don't teach content marketing theory; we teach your team how to use your tools, follow your process, and make decisions independently. Every participant leaves with a role-specific playbook — a one-page reference card they can keep open alongside their work.

What the onboarding programme includes

Live workshop series

Two half-day facilitated sessions covering the editorial strategy, pipeline walkthrough, tool training, and practice runs with real briefs — held in Thika or via video call for distributed teams.

Role-specific playbooks

A separate one-page playbook for writers, editors, and the content manager — covering their responsibilities, the tools they own, the decisions they're empowered to make, and who to escalate to.

30-day activation plan

A structured 30-day plan with weekly milestones for the first month after onboarding — helping the team build the content habit before the novelty wears off and old patterns return.

Four-week check-in session

A 60-minute group call four weeks after the workshops to review what's working, answer questions that emerged in practice, and make any adjustments to the playbooks.

Who this is for — and who it isn't

The onboarding programme works best for teams of two to twelve people who already have a content system in place — whether built by Terravswift or another provider — and need the human activation to make it run. It works well for businesses onboarding new hires into an existing content role, for teams adopting a new publishing tool, and for organisations that have tried DIY content systems and found that people keep reverting to old habits. It is not the right fit for solo content creators who don't manage a team, or for businesses that haven't yet defined any editorial direction — for those situations, start with our Editorial Strategy engagement first.

“We had a Notion workspace full of documentation that nobody read. Terravswift ran two sessions with our team of seven and suddenly everyone knew what they owned. The playbook cards are still pinned above people's desks six months later.”
